This guide will walk you through everything you need to know.
Setting Up Your New Microsoft 365 Profile in Outlook 🖥️
Welcome to Microsoft 365! Now that your email has been migrated, you'll need to create a new Outlook profile to access your mailbox.
Estimated time to complete: 5-10 minutes
Step 1: Open Mail Setup
- Close Microsoft Outlook if it's currently open.
- Open the Control Panel on your Windows computer.
- In the Control Panel, change the View by: option to Small icons.
- Find and click on Mail (Microsoft Outlook).
Step 2: Create a New Outlook Profile
- In the "Mail Setup - Outlook" window, click on Show Profiles...
- In the "Mail" window, click the Add... button.
- Type a descriptive name (e.g., Microsoft 365) for your new profile.
- Click OK.
Step 3: Create Profile Without Adding an Account Yet
- When the "Add Account" wizard appears, select Manual setup or additional server types.
- Click Next.
- On the "Choose Service" screen, click Cancel.
- When prompted, click OK to create a profile with no email accounts.
Step 4: Set the New Profile as Default
- Back at the "Mail" window, select "When starting Microsoft Outlook, use this profile:"
- Choose your new profile from the dropdown menu.
- Click Apply, and then OK.
Step 5: Open Outlook and Sign In
- Open Microsoft Outlook.
- Enter your full Microsoft 365 email address when prompted.
- Click Next or Connect.
- Enter your Microsoft 365 password and click Sign in.
- Complete any Multi-Factor Authentication (MFA) if prompted.
- Wait for Outlook to configure your account and download your emails.
Troubleshooting Tips:
- Can't find "Mail" in Control Panel? Make sure "View by:" is set to "Small icons".
- Password not working? Use your new Microsoft 365 password, not your old Intermedia password.
- Outlook keeps asking for old profile? Ensure you set the new profile as default in Step 4.
Need Email Right Away? Use the Web 🌐
While Outlook is syncing, you can access your email through the web:
- Go to office.com
- Sign in with your Infra‑Red email
- Enter the password we provided
- Click Outlook to read and send email

Set Up Email on Your Phone 📱
A. Microsoft Outlook App (Recommended)
- Install Microsoft Outlook app from App Store / Google Play
- Tap Add account
- Enter your Infra‑Red email
- Enter your Microsoft 365 password
- Approve any authentication prompts
- Remove the old email account from Outlook to avoid conflicts
B. Built‑in Mail Apps
- Go to your phone's Settings
- Select Accounts or Mail
- Remove the old email account to make space for the new one
- Add Account
- Choose Microsoft Exchange as the account type
- Enter your email and password
Tip: If you change your password later, Outlook and the wizard will prompt you automatically—no need to recreate your account.
Frequently Asked Questions ❓
How long will my old email take to appear?
Outlook starts downloading right away after you've set up your account; large mailboxes can take up to an hour. You can use webmail meanwhile.
Does this change my phone settings?
You'll need to add the new Microsoft 365 account to your phone once (see Step 3); the old Intermedia account can then be removed from your phone's mail settings.
